The AMWU is looking for a dynamic person to join our National team based in Granville.

Remuneration:             Officer 4 in the AMWU salary structure ($100,414.06)

Hours:                           38 hours per week

Status:                           Full-time

About the Role

The Executive Assistant plays a central role in supporting the union leadership team to manage their full range of responsibilities.

Along with a range of secretarial and administrative duties, the role includes high level support for meetings of the union’s national governing bodies.

It involves frequent interactions with officials and officers across AMWU Branches and with external stakeholders. The role requires sound judgement in dealing with sensitive and confidential matters.

Responsibilities will include: 

  • Providing secretarial and administrative support to the National leadership.
  • Providing back up support to the EA to the National Secretary.
  • Supporting virtual and in-person meetings of national governing bodies, including organising attendees, coordinating venue and facilities, agenda preparation, formatting presentations, organising catering and distribution of documents.
  • Booking interstate and international travel and accommodation, organising catering and other relevant tasks.
  • Monitoring, drafting, responding to and file management of correspondence and emails.
  • Managing and engaging with external and internal stakeholders, including AMWU Branch Officials and Officers, AMWU members, other Unions and peak bodies, employer representatives, Fair Work Commission, AEC, and other relevant government bodies and authorities.
  • Co-ordinating interstate political and industrial campaign delegations including liaising with AMWU Branches and delegates, booking travel and accommodation, preparation of correspondence and material and the co-ordination of appointments. 

Selection Criteria

Skills

  • Strong communication skills, both verbal and written
  • Excellent attention to detail
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, OneDrive).
  • Ability to prioritise workflow 

Experience

  • Prior experience in an executive support role
  • Experience working in a dynamic environment, managing multiple pieces of work

Other attributes

  • A commitment to the values of the Australian trade labour movement
  • Ability to exercise a high level of judgement and discretion handling sensitive information.

Highly regarded

  • Experience working in a trade union or membership-based organisation.
  • Experience coordinating meetings of governing bodies
